The Microsoft OneDrive Desktop app allows you to access your SharePoint folders directly from your desktop File Explorer. This enables users to open files in native Excel and save changes directly instead of downloading and uploading files through the web version of SharePoint. FloQast strongly encourages all users to utilize the desktop sync app for the best user experience!
Install the desktop sync app: If you are using Windows 10 or 11, your computer already has the OneDrive app installed. If you are not using either of these or believe you need this app installed on your machine, please request this installation from your IT administrators.
There are two different ways to sync your folder to your desktop and the method that you'll use will depend on how the folder was shared with you. If you are unsure how the folder was shared with you, please reach out to your IT administrator for information.
If you were given access to the SharePoint Site or Document Library |
If the FloQast folder was shared with you directly |
If you were given access to the SharePoint Site or Document Library:
- Navigate to the Office 365 Portal at portal.office.com and sign in as yourself.
- Select the App Launcher menu in the top left corner of the screen and then select SharePoint.
- Navigate to the Site and Document Library where the FloQast folder is hosted.
- Click on the FloQast folder.
- Click the Sync button on the ribbon at the top of the screen.
- You may be asked to open Microsoft OneDrive. If you are, select Open Microsoft OneDrive. You also may be asked to sign in. You can go ahead and do this as well.
- After the sync has completed, you will now have a new synced directory in your File Explorer with the naming convention of SharePoint Site Name - Folder Name. For example, using the screenshot above with the SharePoint site named Jason Test Site and a folder named FloQast, the directory name is Jason Test Site - FloQast.
- You can now access the FloQast folder hosted in SharePoint directly through your file explorer using the new desktop sync you just set up!
Changes you make to the files in these folders will be pushed to the web version of SharePoint by your desktop sync app. The web version of SharePoint is the "source of truth" and is the set of folders FloQast is connected to. Your local copy of these folders should be a perfect copy of the web version as long as your desktop sync app is running.
If the FloQast folder was shared with you directly:
- Navigate to the web version of OneDrive at OneDrive.live.com and sign in as yourself.
- Select the Shared tab on the left-hand side navigation bar.
- Locate either the FloQast folder or the FQ - [Your Entity Name] folder you are trying to sync. For most people, this will be the FloQast folder, however, for certain users, they may have been directly shared a FQ - [Your Entity Name] folder instead.
- Select the folder.
- Click the Sync button in the ribbon at the top of your screen.
- You may be asked to open Microsoft OneDrive. If you are, select Open Microsoft OneDrive. You also may be asked to sign in. You can go ahead and do this as well.
- After the sync has completed, you will now have a new synced directory in your File Explorer with the naming convention of Folder Owner - Folder Name. For example, in the screenshot below, an account FloQast Demo shared a folder with me named FloQast. After syncing that folder, it displays as FloQast Demo - FloQast.
- You can now access the FloQast folder hosted in SharePoint directly through your file explorer using the new desktop sync you just set up!

Keep in mind:
- Even though these folders appear on your desktop, these are shared folders. Changes you make to these folders impact everyone who is sharing them. Please do not move or delete any folders.
- Your desktop sync app may take some time to push your changes to the web version of SharePoint. Usually, these changes are fairly instantaneous, but you may observe a slight lag. For issues with your desktop sync app, please see this article.
