Link journal entries to the reconciliations they resolve, from either Journal Entry Management (JEM) or Reconciliations. Reviewers and auditors can then trace a reconciling difference to the approved entry and its ERP posting without leaving FloQast.
How Linking Works
Journal entries can be linked to the reconciliations they resolve, from either side. This replaces tracking the connection with naming conventions, notes, or spreadsheets.
- Link many to one, or one to many: One journal entry can link to several reconciliations, and one reconciliation can link to several journal entries.
Note: Multiple journal entries can be linked to a single reconciliation. This is the main difference from the checklist integration, where a journal entry is linked to a checklist item.
Linking from Journal Entry Management
Use this option when you’re working in a journal entry and know which reconciliations it supports.
- Open the journal entry in JEM.
-
Click the kebab button and then click Linked Items.
- In the JEM drawer, click Link Reconciliations.
- Search for or select each reconciliation you want to link to the journal entry. You can select more than one.
- Confirm your selection.
Linking from Reconciliations
Use this option when you’re working in a reconciliation and need to attach the journal entries that resolve its reconciling differences.
- Open the Reconciliations tab and find the reconciliation you want to link.
- Click the kebab button to the far right and then click Link Journal Entry.
- Select each journal entry you want to link. You can select more than one.
- Confirm your selection.
Viewing Linked Journal Entries on a Reconciliation
Once a reconciliation has linked journal entries, a Journal Entries badge appears on it. Click the badge to open the Linked Journal Entries page, which lists every journal entry linked to that reconciliation for the month.
Click any journal entry on the page to go directly to it in JEM.
Note: Before you sign off on a reconciliation, check that every linked journal entry is approved. Entries that are still In Review or Prepared haven’t completed the approval process.
Viewing Linked Reconciliations on a Journal Entry
From a journal, open the Linked Items window (kebab button > Linked Items) to see every reconciliation the entry is linked to.
Removing a Link
Links can be removed if a journal entry no longer applies to a reconciliation, or if it was linked to the wrong one.
-
Within a Reconciliation: Select the linked journal entry and click the Unlink button that appears towards the bottom of the screen.
-
Within a Journal Entry: In the Linked Items window, click the kebab button and then Unlink next to the desired reconciliation.
