To review and approve a journal entry, you must be set up as a reviewer in an approval rule. Admins and Managers can set up an approval rule within the Journal Entry Management Settings > Approval Rules section. If all users should be allowed to review, the rule should be set up to include all users as reviewers. However, even if you are added to the reviewer group you are not able to approve journal entries that you created.
To review a Journal Entry, click into the journal entry and click “Start Review” in the upper right corner of the following page. In the top left of the Journal Entries screen the Actions tab will let you know if there are any Journal Entries that require your attention.
By starting the review process, an entry will transition from a “Prepared” state to a “In Review State”.
A reviewer will be able to either reject or review a journal entry by using the corresponding buttons in the top right corner of the screen once the review is started. Please note that the supporting documentation that is uploaded as part of the journal entry initiation process will be available for download and review. Once a journal entry is approved, supporting documentation using the cloud storage option will be locked.
When a journal entry is rejected, the Reviewer can provide an explanation, which is recorded in the Activity Log of the journal entry. However, once the Preparer makes the necessary updates and resubmits the entry, the rejection explanation is no longer visible in the log.
