Uploading Documents
Previously, in order for documents to populate on the Folders tab (see screenshot below), users were required to first save files in their cloud storage environment (e.g., OneDrive, Box, Google Drive, etc.) and then return to FloQast and push the "Refresh" button.
Now, users may upload one or more files at a time directly in the FloQast application by selecting the upload button highlighted below. The files will be automatically placed in the corresponding folder in your cloud storage provider. In addition, after uploading the files, FloQast will automatically sync your reconciliation balances by performing a Refresh.
The file will get uploaded to the same location as all other documents in the cloud storage provider:
Notes on File Names
- Files uploaded through FloQast are placed in your Cloud Storage folders the API connection FloQast has with your provider (i.e., the OneDrive API, the Box API, etc.)
- Each Cloud Storage Provider has specific rules about file names, especially around special characters. We recommend omitting special characters such as # $ / ( ) & from your file names.
- Each Cloud Storage Provider also prohibits the same file name from existing twice within a single folder. Therefore, you may not upload a document if one by the same name has already been uploaded. We recommend opening the existing version and making your edits there, as opposed to creating a brand new copy of the file. If you do have a new copy of the file that needs to supersede the old version, you should delete the old version from Cloud Storage first and then upload the new version.
Deleting Documents
Users with the "Admin" or "Manager" role may also delete documents in FloQast directly. Users with the plain "User" role may only delete documents they personally uploaded. (Note if you have implemented a control in your cloud storage environment to prevent document deletions, FloQast will respect this and not be able to delete documents).
