When working in JEM you can enable various settings and controls on a per Entity basis. To do so, navigate into the Journal Entries tab > Kebab button > select Settings. On the page you'll see a list of options including: Fields & Options, Workspace Settings, Approval Rules, and Workflow Controls. Let's explore each of these options in greater detail. This article will mainly focus on Workspace Settings, Approval Rules, and Workflow Controls.
Fields & Options
This section allows you to see configured and unconfigured connections to see what is setup within your JEM configuration. You can click on the kebab menu next to a connection, select the Edit Configuration option and this will allow you to edit and customize your journal entry fields as you did when you initially set up your JE system in FloQast.
Workspace Settings
The Workspace Settings section allows you to enable specific JE settings on a per Entity basis. Select your desired entity and then determine your Storage Options. You can either:
- Store supporting documents in your CSP
- Store supporting documents in FloQast
If you select to store supporting documents in your CSP, you'll see a folder path listed below this selection like in the example below.
Approval Rules
In the Approval Rules section you can configure approval rules for your journal entries.
Click the Add Rule button to create a new approval rule.
Name your rule and determine the type of rule you want it to be:
- Auto Approve (Low Risk) - the journal entry will not require an approver
- One-Level Approval (Standard Risk) - the journal entry will require 1 approver
- Two-Level Approval (High Risk) - the journal entry will require 2 approvers
- Select the Entity you want this rule applied to.
With the Entity selected, you can decide if you want to assign preparers and/or set approval thresholds.
- Assign Preparers - Here you can apply the approval rule to specific preparers only. Switch the toggle button and then select the desired preparers.
- Set Approval Thresholds - Here you can define the range of amounts this rule should apply to. You can set a lower limit, upper limit, or both.
Select your approvers from the dropdown list.
- Once all the required fields are complete, click to Save Rule.
Once the rule is saved you'll see it listed within the Approval Rules section. Here you can click to edit the rule or click the Kebeb menu to view the Activity log or deactivate the rule. Rules cannot be deactivated while entries are in Prepared or Review statuses.
Workflow Controls
In the Workflow Controls section you have 2 main options:
- Use Approval Flow - You can enable this option to further control your approval flows by selecting between the 2 options:
- Automatically post after journal entry is approved
- Automatically post after journal entry is prepared
- Require Supporting Documents - Disabling this setting makes supporting documentation optional.
