User question: Can multiple preparers and reviewers record their individual sign-offs for the same line item?
In FloQast you can sign off on line items directly within the Report Builder instead of switching back to the AI Variance Analysis module. Also, To make collaboration easier, a single item can be assigned to multiple team members.
How to Use In-Grid Sign-Off
Sign-off is integrated into Report Builder and a single line item can carry more than one assignee. Any sign off completed in Report Builder will sync to the AI Variance Module.
Sign Off on a Line Item in the Report Builder
- Open your report and scroll right to the Variance Fields column.
- Find your line item. The explanation must be saved in order for it to appear in the Variance Fields column.
- In the Preparers or Reviewers column, click the toggle next to your name.
- The toggle turns green. Your sign-off date is recorded.
Note: Your toggle records only your signature. Other assignees sign off themselves.
Track Sign-Off Status Across Assignees
- Go to Reporting and open the AI Variance Analysis tab.
- Open your analysis and stay on the Waiting for Sign-off tab.
- Read the Preparers, Reviewers, and Variance Sign-off Status columns.
Note: Your toggle records only your signature. Other assignees sign off themselves. Sign-off Status labels include:
- Ready for Review is a partial state: the preparer signed; the reviewer has not.
- Not Started: no sign-offs yet.
- Signed Off: both the preparer and the reviewer(s) signed off. Multiple reviewers can be added to one line item.
- Sign-offs sync both ways between Report Builder and AI Variance Analysis.
Access Management and Visibility
In-grid sign-off follows the existing AI Variance Analysis rules, with no exceptions:
- Role permissions: the same AI Variance Analysis permissions decide who can sign off.
- Preparer and reviewer separation: each signs in their own column. A preparer cannot complete a reviewer signature.
- Unassigned users can view the sign-off state but cannot use the toggles.

A: Absolutely. All restrictions from AI Variance Analysis remain exactly the same. This includes role-based permissions, the required separation between preparers and reviewers, and your existing signature requirements. If a user doesn't have permission to sign in AI Variance Analysis, they won't be able to sign in Report Builder either.
Q: Will the sign-offs I complete in Report Builder show up in AI Variance Analysis?
A: Yes. Any sign-offs applied in the report grid are automatically written back to AI Variance Analysis and will appear there as soon as the page is refreshed.
