User question: How do I share a report I built with another user, and what can they do with it?
When sharing a report, you assign a specific permission level to control exactly how the recipient can interact with your data, ranging from read-only access to full editing and re-sharing rights. Reports are shared on an individual basis; granting access to a specific report does not give the recipient access to your personal folders or any other layouts within them.
How to Share a Report
Open the custom report you want to share from your folders pane:
- Click the Share button located in the top-right corner of the interface to open the Share Report dialog box.
- In the Select users dropdown, search for and select the name(s) of the teammate(s) you want to invite.
- Click the permission dropdown next to each user's name to assign their specific access tier (see the breakdown below).
- Click Save. The selected users will instantly gain access to the report within their own workspace based on your assigned parameters. (See Understanding Permissions Levels below the image.
Understanding Permission Levels
When adding a collaborator, you must choose one of three distinct access tiers:
- View Only - The recipient will only be able to view the report. They will not be able to directly clone the report, make edits, or share with other users. As the title suggests, it is View Only.
- Limited - The recipient will have View Only access with the addition of cloning the report to one of their folders. They will not be able to make edits or share with other users
- Full - The recipient will have full access. The recipient will have identical permissions as the creator of the report.
NOTE: Report access is managed strictly report by report, not at the folder level. If a colleague needs access to multiple custom layouts, each report must be shared with them individually.
