Dependencies in FloQast play a crucial role in managing tasks that need to be executed in a particular sequence. This feature is especially beneficial in scenarios where certain tasks are contingent upon the completion of others, such as Cost Allocation processes that rely on Headcount. Using Dependencies ensures that all necessary data is available and accurate before proceeding with subsequent tasks. By utilizing Dependencies effectively, teams can streamline their workflow, reduce the risk of errors, and enhance overall productivity.
Adding Dependencies
Admins and Managers in FloQast can set up Dependencies via Inline Editing. If you click on the gear icon for any Checklist Item or Reconciliation with a Monthly, Quarterly, Annual, or Custom Frequency, you will see the Add Dependency button.
After that, the Add a Dependency module will open, and you will need to configure the following settings:
- Checklist or Reconciliation: Would you like this Dependency to apply to a Checklist Item or a Reconciliation?
- Relationship Type: Should this Dependency block the selected task or be blocked by it?
- Entity: Which Entity is the task you are applying this Dependency to in?
- Folder: Which folder is this task in?
- Description: The items in the selected folder will populate, and you will be able to select a specific item and create this Dependency.
Viewing Dependencies
Once a Dependency is created, users with access to the entity will see on the Checklist or Reconciliations tab that a task either Blocks or is Blocked By another task. If an item is Blocked By an incomplete task, an orange caution icon will appear next to it.
Clicking on Blocked By or Blocks will pull up the Dependencies for that item, showing all items that have Dependencies with this item, as well as their status.
Strict Blocking Dependency
In the Admin Settings > Entities tab, FloQast Admins can set Dependencies for an entity as either Soft Blocking or Hard Blocking. This is configured at the entity level.
When Dependencies are set to Soft Blocking, Users will be presented with a warning, and have to provide additional confirmation when signing off an item that is blocked by tasks that have not been completed. If the user hits confirm, they will be able to sign off.
If an entity is set to Hard Blocking Dependencies, users will not be able to sign off on an item if it is blocked by a task that has not been completed.
