Overview
FloQast’s AI Matching Journal Entry (JE) Posting Integration allows you to create and post adjusting journal entries directly from AI Matching into your ERP without leaving FloQast.
This feature connects reconciliation and adjustment into one seamless workflow, saving time and maintaining a clear audit trail between unmatched transactions and the journal entries created to resolve them.
Enabling JE Posting for AI Matching
Follow the setup requirements denoted on the help article “Initial Integration Requirements and Settings”
Once setup is complete, you can use the Create Journal Entry option directly inside your AI Matching instance.
Creating Journal Entries from AI Matching
Once JE Posting is enabled, you’ll see a “Create Journal Entry” option directly inside your AI Matching instance.
- Open the reconciliation you’d like to adjust.
- Confirm that the reconciliation is set to only one Subsidiary (NetSuite) or Location (Intacct).
- Confirm that the Data Source 1 is coming through a direct integration with your ERP.
- From the Unmatched Transactions view, select the transactions requiring adjustment.
- Click Create Journal Entry.
- FloQast will automatically prefill key details, such as account, entity, and amount.
- Review the prepopulated fields and make any necessary edits.
- Click Post to ERP to submit the JE.
A confirmation message will display once your JE is successfully posted.
Viewing and Syncing Status
After posting, FloQast automatically syncs the status of your journal entries.
- Posted JEs will appear on the Journal Entries tab.
- The status will show as Sent or Posted based on ERP feedback.
- You can resync directly from AI Matching or the JE form to pull the latest ERP status.
FAQ
Q: Why is the “Create Journal Entry” button grayed out?
A: The FloQast Entity has been disabled from posting journal entries.
To enable posting, go to Journal Entries > Settings > Fields and Options > Manage Entities and toggle the entity back on.
Q: I deleted a transaction in Intacct, but I still see it in AI Matching.
A: This is expected. Deleted transactions are not currently removed from AI Matching due to ERP limitations. We recommend to not delete transactions from the ERP and instead book a reversal! Once the reversal is booked, we recommend undoing the last or all imports and redo the matching.
Q: Some data, such as accounts, is missing from the Journal Entry form — what should I do?
A: Go to Journal Entries > Settings > Fields & Options > Sync Fields to refresh your metadata.
Q: The Reconciled tab on the Matching export and UI has transactions that show “Sent” and “Posted”, what is the difference?
A: Sent means we have not detected the transaction as “Posted” to the general ledger, if you believe this is incorrect, click “Sync” in AI Matching or the Journal Entries tab. If any transaction has not been posted, it means it will not impact your general ledger and the final balance balance on the Reconciliation’s tab will not tie out to the reconciled tab in AI Matching.
