Adding Tasks to a Project
Once your Project is created, you will need to add tasks. There are two ways to do this. The first is to add the tasks individually via the FloQast UI. From the Tasks page, click Add Task.
You will be prompted to complete the following fields:
- Project Name (Required): Select the project this task should be associated with from a list of projects you have access to. If you have a single project selected, this field will auto-populate with that project name.
- Description (Required): The description of your task. This can be as long (or short) as needed - there is no character limit. Additionally, you can include line breaks and hyperlinks.
- Assignee (Optional): Select an assignee to complete this task or leave it unassigned. You can also choose to have more than one assignee per task, and each one will be able to indicate their status on the task individually.
- Due Date (Optional): Set a due date for each assignee on the task.
- Note: You can include a due date for an ‘unassigned’ assignee.
- Label (Optional): Choose a label for each assignee on the task from the list of labels available on that particular project.
- Note: You can include labels for an ‘unassigned’ assignee.
- Note: If you need an additional label that does not appear in the dropdown, you can always add it via the ‘Edit Project’ slideout on the Dashboard tab.
You can also add tasks in bulk through a template upload. This can only be done for one project at a time. As long as you have an individual project selected (meaning your project selector is not on ‘All Projects’), you will be able to click the Bulk Upload button on the top of the Tasks page.
Selecting the Download option will export an Excel version of all tasks currently in the project. If no tasks are associated with the project, you will get a blank template.
The template can be used to create and edit tasks. Simply fill in the Description, Due Date(s), Assignee(s), and Label(s) for each task. If a task has multiple assignees, separate the assignees and their labels/due dates with semicolons. The Internal ID column is how FloQast differentiates between your tasks. Changing this field can result in duplicate Tasks within your project. If you are using a Download from another Project and uploading it to create a similar project, you do not need to worry about editing the tasks in the original project as new tasks will be created in your currently selected project.
After adding your tasks and/or making your edits, simply save your file and upload it back into FloQast. Please note that FloQast will read all rows in the uploaded file, including rows that are filtered out.
Finding your Tasks
Once a project has been created and tasks have been added, you and your team can begin work. The Tasks Tab will allow you to see every task across all projects you have access to. You can choose to narrow this view down to a specific project using the dropdown. Additionally, you can also Search by Task Description and apply the following filters:
- Due Date: Select a single date or a range of dates, and only tasks due on those dates will populate.
- Assignee: You can select a single user or multiple users.
- Status: You can choose a single task status or multiple statuses.
- Late: This toggle shows overdue tasks that are either in the 'Not Started' or 'In Progress' status, as well as tasks that were marked as 'Completed' after the due date.
If you click the Reset Filters button, it will remove any active filters.
Completing Tasks
Tasks can have three different statuses in FloQast Projects: Not Started, In Progress, and Completed. You can update the status of a task from the Tasks page in the Status column. After updating a task's status, the Status Last Updated By column will update accordingly with your name and a date stamp.
Editing and Deleting Tasks
You can edit tasks by clicking the three dots to the right of the task and clicking edit or through the Bulk Upload template. You can delete tasks by clicking the three dots to the right of the task and clicking delete.
Note: At this time, it is not possible to delete tasks via the bulk upload template.
Commenting on Tasks
Comments can be used to communicate the progress of tasks within a project. Comments can be left at the Task level by hovering over the task and clicking the Comment icon.
Once a comment has been left on a task, a persistent Comment icon will display. Clicking this icon will pull up the comment thread, where you can review existing comments and reply as needed.
Attaching Documents to Tasks
You can attach relevant documents to individual tasks by hovering over the task and clicking the attachment icon.
Any file type can be uploaded as an attachment. The uploaded file can be found in your storage provider via the following file path:
FloQast > FloQast Projects > [Project Name] > Linked Attachments
Once a file has been attached to a task, you will see a persistent attachment icon in the task's row. You can access the files by clicking the icon and the file link, and files can be deleted by clicking the trash can icon to the right of the file. Please note that file access will depend on which folders you have access to in your team's Cloud Storage environment.
