After an external auditor is added into FloQast and given access to a specific audit project, by default, the auditor will have read-only access to all areas of the Compliance Management solution.
However, users can opt into a feature that allows for further restriction on what Controls, Risks, Tests, and Issues an external auditor can access. Please reach out to your FloQast Accounting Success Manager or support@floqast.com to enable this feature.
Provisioning Access for External Auditors
Once opted into our External Auditor User Access feature, all information will be hidden from view for External Auditor users by default, and FQ Admin or Manager users will have to select which information they want their External Auditors to see.
Admins and Managers can grant access to External Audit access as follows:
Processes
- Processes Page: Click into any Process, and you will see said Process’ Narrative and Flowchart pages. Click the Disable or Enable button in the top-right corner to manage external auditor access to this Process. These buttons are visible from both the Narrative and Flowchart pages.
Risks
- Risks Table: Hover over a Risk on the Risks table, and you will see a User Access icon appear. Clicking the icon will make the Risk details visible to External Auditor users. Once selected, the icon will remain static on your screen to easily identify which items have already been shared.
- Risks Drilldown View: Once clicked into an individual Risk, click Disable or Enable to manage external auditor access.
- Granting Access in Bulk: To grant your auditors access to multiple items at once, select the kebab menu on the far right and select Bulk Enable Auditor Access. Then, click the check boxes on the left side of the tab to bulk select your controls. Then click Continue in the bottom right to confirm your selection and enable.
Controls
- Controls Table: Hover over a control on the Controls table, and you will see a User Access icon appear. Clicking the icon will make that month’s control details visible to External Auditor users. Once selected, the icon will remain static on your screen to easily identify which items and which months have already been shared.
- Control Evidence Drilldown view: Hover over individual months, and you will see a User Access icon appear. Clicking the icon will make that month’s control details visible to External Auditor users. Once selected, the icon will remain static on your screen to easily identify which periods have already been shared.
- Granting Access in Bulk: To grant your auditors access to multiple items at once, utilize the period dropdown in the top left to select which months you would like to grant access to external auditors for multiple controls. Next, select the kebab menu on the far right and select Bulk Enable Auditor Access. Then, click the check boxes on the left side of the tab to bulk select your controls. Then click Continue in the bottom right to confirm your selection and enable.
Key Reports
- Key Reports Table: Hover over a Key Report on the Key Reports table, and you will see a User Access icon appear. Clicking the icon will make that Key Report visible to External Auditor users. Once selected, the icon will remain static on your screen to easily identify which items and which months have already been shared.
- Key Reports Drilldown view: Once clicked into an individual Key Report, click Disable or Enable to manage external auditor access.
- Granting Access in Bulk: To grant your auditors access to multiple items at once, utilize the dropdown in the top left to select which audit projects you would like to grant access to external auditors for multiple Key Reports. Next, select the kebab menu on the far right and select Bulk Enable Auditor Access. Then, click the check boxes on the left side of the tab to bulk select your Key Reports. Then click Continue in the bottom right to confirm your selection and enable.
Tests
- Test Table: Hover over a Test on the Tests table, and you will see a User Access icon appear next to the testing phases. Clicking the icon will make the Test details visible to External Auditor users. Once selected, the icon will remain static on your screen to easily identify which phases have already been shared.
- Granting Access in Bulk: To grant your auditors access to multiple items at once, select the kebab menu on the far right and select Bulk Enable Auditor Access. Then, click the check boxes on the left side of the tab to bulk select your controls. Then click Continue in the bottom right to confirm your selection and enable.
Issues
- Issues Table: Hover over an Issue on the Issue table, and you will see a User Access icon appear. Clicking the icon will make the Test details visible to External Auditor users. Once selected, the icon will remain static on your screen to easily identify which phases have already been shared.
- Granting Access in Bulk: To grant your auditors access to multiple items at once, select the kebab menu on the far right and select Bulk Enable Auditor Access. Then, click the check boxes on the left side of the tab to bulk select your controls. Then click Continue in the bottom right to confirm your selection and enable.
PBC
- PBC Table: Hover over a PBC Request on the PBC table, and you will see a User Access icon appear. Clicking the icon will make that Key Report visible to External Auditor users. Once selected, the icon will remain static on your screen to easily identify which items and which months have already been shared.
- PBC drilldown view: Once clicked into an individual PBC Request, click Disable or Enable to manage external auditor access.
- Granting Access in Bulk: To grant your auditors access to multiple items at once, utilize the dropdown in the top left to select which audit projects you would like to grant access to external auditors for multiple PBC Requests. Next, select the kebab menu on the far right and select Bulk Enable Auditor Access. Then, click the check boxes on the left side of the tab to bulk select your PBC Requests. Then click Continue in the bottom right to confirm your selection and enable.
Certifications
- Certifications Table: Hover over a Certification on the Certification table, and you will see a User Access icon appear. Clicking the icon will make that Certification visible to External Auditor users for the designated rounds. Once selected, the icon will remain static on your screen to easily identify which items and which rounds have already been shared.
- Certifications drilldown view: Once clicked into an individual Certification, select a round from the dropdown menu and then click the Disable or Enable icons to manage external auditor access.
- Granting Access in Bulk: To grant your auditors access to multiple Certifications at once across all rounds, utilize the dropdown in the top left to select which audit projects you would like to grant access to external auditors for multiple Certifications. Next, select the kebab menu on the far right and select Bulk Enable Auditor Access. Then, click the check boxes on the left side of the tab to bulk select your Certifications. Then click Continue in the bottom right to confirm your selection and enable.
