How do I save my work and publish a Dimension Grouping so other FloQast products can use it?
The Financial Data Model (FDM) keeps your Dimension Grouping in a Draft state until you're ready to go live. While in Draft, you can save your progress at any time without affecting any connected products. When your account mapping is complete and reviewed, publishing makes the grouping Live, meaning AI Variance Analysis and Report Builder can immediately reference it, and any new accounts added to your ERP will be automatically captured by your rules going forward.
How to save your work as a Draft:
- Navigate to Admin Settings (1) → Financial Data Model (2).
- In the left panel, click the Dimension Grouping (3) you are working on.
- At any point during your mapping session, click Save as Draft (4) in the top-right area of the screen.
Note: Your progress is saved. The grouping remains in Draft state and is not visible to AI VA or Report Builder. You can return and continue mapping in a future session.
How to publish a Dimension Grouping:
Publish when all accounts are mapped to your satisfaction and the grouping is ready to be used by other FloQast products. We recommend reviewing the Unassigned quick filter before publishing to confirm no accounts have been left without a destination.
- Navigate to Admin Settings (1) → Financial Data Model (2).
- In the left panel, click the Dimension Grouping (3) you want to publish.
- Click the Unassigned quick filter (4) above the accounts table to confirm there are no unmapped accounts remaining.
Note: Accounts without a destination do not appear in AI VA or Report Builder. To exclude accounts, set their destination to 'Do Not Map.' If an account still holds a balance or activity, Report Builder will display it as unmapped for control purposes. Only use 'Do Not Map' for inactive accounts; you can manually exclude remaining unmapped accounts in Report Builder.
Click Save and Publish in the top-right area of the screen.
- Note: The grouping's status changes from Draft to Published (visible as a Published badge in the left panel). It is now live across the FloQast platform.
What happens after I publish?
After publishing, Dimension Groupings become immediately available in AI Variance Analysis for setting materiality rules and in Report Builder for streamlined report generation. The system ensures that any new accounts added to the ERP automatically sync to the Financial Data Model to these products without requiring manual updates.
If you need to make changes, publishing does not lock your configuration. You can continue to make additional edits at any time.
To update a published model, simply click Edit. The grouping will safely return to a Draft state while you modify mappings, ensuring incomplete changes aren't visible until you choose to re-publish.
Best Practices
- Work with Concurrent Drafts: You can maintain multiple Dimension Groupings in different states simultaneously. Draft groupings are securely saved as works in progress, allowing you to build and refine them at your own pace without affecting active systems.
- Control Visibility via Publishing: Keep in mind that only Published groupings are live and available across other FloQast products. Keep configurations in a Draft state until they are fully ready for platform-wide use.
