This article will take you through the steps of creating a basic request in ReMind. However, there are a number of helpful Templates to choose from for your specific needs, whether it be sending a reminder, obtaining a response, or requesting data through Excel worksheets.
1) Click on the Create tab to get started.
2) You will land on a page full of Template choices. Choose the one that best suits your needs! For this example, we'll use "Send a Reminder."
3) Click the Use Template button to proceed.
4) Select a specific entity for your request or leave "All Entities" selected by default. The entity to which a Request is assigned affects who can view and transfer a Request.
5) The creator of the request will be the default Owner, but you can adjust the owner to be a different user if needed.
6) Give your Request a unique name. The Template name will be filled in here automatically, but you can customize this based on the specific data you are asking for.
7) Choose which email address you would like the results sent to once everything is submitted. Your email address will fill in here by default. You may optionally choose to enabled Response Forwarding here too.
8) Choose whether your Request should be Private (only visible to you) or visible to your entire team.
9) Choose the frequency of the Request. If this is a one-time request, you can select No and this request will not repeat. If you find yourself making the same request each month or perhaps once a quarter, then the Weekly, Monthly, or Quarterly options will save you some time in future months!
10) Enter the Initial Message date for your Request. Today's date will fill in by default, but you may select a future date and specify the time the message should send.
11) Enter the number of business days before your first Follow-up Message will send and choose a Message Mode. This business day counter will exclude weekends. In the example below, the Initial Request is sent on Tuesday, May 2nd. Recipients have until Thursday, May 4th to answer. The Follow-Up message will be sent on this due date if a recipient has not responded yet. In "Diligent" Message Mode, the Follow-up message will send only once on this day.
Message Mode "Persistent" will send your Follow-up message and one past-due message 24 hours after the due date. "Never Give Up" will send message your contacts every 24 hours after the Follow-up Message date until we get a response. "Chill" Mode will only send the Initial Message.
Initial Message: This message will be sent on the date and time specified above. If you create a Request with a same-day Start Date and you are already past the delivery time, the Initial Message will be delivered within 10 minutes after creation.
12) Add the appropriate recipients to your Request by selecting your Contacts or adding new Contacts.
13) Customize the Subject line of the email if desired. "Reminder to Submit Outstanding Items" and the current period will be filled in automatically.
14) Customize the body of your Initial Message. There is a full toolbar if you would like to style the text of your message.
15) You may add placeholders to your message, such as {Recipient First Name}, {Due Date}, etc. The available placeholders can be viewed from the "Tags" drop-down menu. Clicking one will insert it at the current cursor location.
16) A full preview of your message will be displayed so you know exactly what your recipients will see.
Please note you can also add attachments to your Initial Message! You can include informational PDFs for your contacts, as an example, or you can upload a pre-defined Excel template which will be provided as an attachment to your Contacts. These recipients will open the attachment, input their data, and return the completed template as an attachment. ReMind will compile a final tabulated file to be exported!
Follow-Up Message: If a recipient has not replied before the due date, a Follow-Up Message will be sent on the Due Date specified above. All Follow-up and past due emails are sent at the designated time of the Initial Message, but the specified number of business days later.
17) Customize the body of the Follow-Up Message.
18) Once again, a full preview will be available for your review.
19) Your Request is nearly finished! Give it one last review, then click the Create Request button to officially create your Request using FloQast ReMind.
