Bulk changes to assigned users can be made through the Reconciliation and Checklist templates. These templates can be exported and reuploaded by users with the Manager and Admin roles.
Once the templates are exported as Excel files, changes can be made to the Preparer/Review columns and reuploaded.
Exporting Templates
Navigate to: Admin Settings > Manage Checklist/Reconciliations > Checklist/Reconciliation Settings > Export Checklist/Recs
Note: You will see a column for Internal ID on the template you have exported. Please do not edit or remove the internal ID from that column. The only time an internal ID should be removed is if you are deleting an item entirely, in which case the entire row can be deleted from the template. If you are adding a brand new item, the internal ID can be left blank and the system will generate one. For purposes of reassigning tasks, the internal ID should remain in place.
Editing Templates
When replacing one user with another, use Excel’s Find & Replace tool in order to replace one e-mail address with another in bulk. The tool can be found in the upper right corner under the magnifying glass:
NOTE: Adding preparers/reviewers can be done by separating e-mail addresses using semicolons (A@company.com; B@company.com). If multiple users are present, there must also be multiple deadlines separated by semicolons as well (3;3 or 3;5, etc.).
Uploading Templates
When uploading templates back into FloQast, it is important to note the following:
- After clicking the Save Changes button, ensure that you select the correct periods to apply changes to. By default, the system will apply changes to the current month you are in.
- Changes will only affect checklist and reconciliation items that have not been fully signed-off on.
